Client Relations & Administrative Coordinator

Abby Liga Photography is seeking a highly organized and personable Client Relations & Administrative Coordinator. This is a hybrid role—you’ll work remotely on weekly admin and communication tasks, and occasionally join us in person at our Winter Park studio headquarters. You’ll be the heartbeat of our client experience and daily operations—managing communication, supporting projects, and handling essential admin tasks. When on-site, you’ll help keep the studio workspace organized, assist with by-appointment meetings or photo sessions, and ensure a welcoming environment for clients.

KEY RESPONSIBILITIES

Manage client communication (email, Dubsado/CRM, scheduling, confirmations)

Maintain owner’s calendar and schedule all appointments

Prepare proposals, contracts, and invoices

Oversee workflow from initial inquiry to project completion

Deliver exceptional client service throughout the client journey

Organize and maintain the email inbox

Track and organize expenses, payments, and receipts

Assist with social media scheduling & newsletter sends (optional)

Maintain digital organization (Google Drive, Dropbox, etc.)

Assist with content/blog/website updates (Showit) as needed

Coordinate with team using Slack and other internal tools

Help keep the studio workspace tidy, stocked, and client-ready

Ad-hoc admin and project support as requested

MUST HAVES

Strong written communication and organizational skills


Highly organized with sharp attention to detail


Warm, professional, and confident communicator (in-person, email, phone)


Proven client relations or customer service experience


Comfortable with digital admin tools (Google Workspace, Dubsado or similar CRMs, Dropbox, etc.)


Ability to prioritize, follow through, and stay detail-oriented


Tech-savvy, solution-oriented, self-motivated


Problem solver, self-starter, able to anticipate needs

Location: Hybrid (Remote + In-person at Winter Park, FL, studio HQ)

NICE TO HAVES

Familiarity with creative or photography businesses


Experience with Dubsado, Flodesk, Showit, Canva, Notion, Slack


Experience with Adobe Lightroom, Photoshop, and macOS systems


Interest or background in photography, design, or creative industries


A strong design eye and appreciation for aesthetics
